Special Event Insurance is exactly what it sounds like: it’s insurance to protect you from bodily injury liability when you throw a one-time or special event—think fitness workshops, athletic demos, conferences, and even beer and burpees charity events (yes, that’s a thing). One-day event insurance will insure you if someone were to hurt themselves that day and also cover you for any property damage that you may be responsible for during the event.
Hosting a special event can be a great way to shake the cobwebs off your day-to-day studio class. It encourages people to get more involved, attracts new clients, and in many cases, it will ultimately help your retention. There are a lot of positives in making the effort to get out there and host an event, however you want to be sure that all of your bases are covered before people start showing up and begin doing burpees…
Here are some coverage features to look for in liability insurance for an event:
- Commercial General Liability (“slip and fall”) coverage in amounts of at least $1,000,000 each occurrence / $3,000,000 aggregate
- Coverage for damage to rented premises of $100,000 each occurrence
- Host Liquor Liability included in all policies
- Additional Insured coverage available for co-promoters, venues/lessors, and sponsors
It’s always important to check your current policy with your studio to find out the limitations of their coverage. Many policies may have a designated coverage area that would prevent the insurance from following you to your event. Also, it is common for the owner of the event space to require that you sign a contract stating that you have the above general liability coverage and that they are added to that coverage.

If you’re hosting a special event, there’s going to be a lot more to consider than your average day in the studio. The one thing you shouldn’t spend time worrying about is your insurance coverage for an unfortunate client injury during the event. Going without coverage for the day isn’t a wise risk. A participant without their own health insurance could hurt themselves during the day and without anywhere to go for coverage, they may hire a malpractice attorney to recoup expenses through a lawsuit against you as their instructor. It’s not in the spirit of the day and it’s likely you have a solid bond with most of your clients where they wouldn’t dream of pursuing a suit against you, but the nightmare of having your career and assets vulnerable isn’t worth it.
